Terms of service

These terms of service govern the services offered by Aarnae Studio, represented by Manon Rey, sole trader.

They apply to any service request made to Aarnae Studio, unless agreed otherwise in writing.

Service provider

Services offered

Aarnae Studio offers the following services:

• general translation;
• creative and marketing translation;
• video game localization;
• editorial and literary translation;
• light proofreading;
• in-depth editing;
• bilingual revision;
• post-editing of machine translation or AI-generated content;
• linguistic QA;
• creation, cleaning or harmonisation of glossaries;
• terminology consistency;
• cultural adaptation;
• transcreation;
• copywriting and linguistic services for digital, editorial and audiovisual material.

Quote requests

Every service receives a tailored quote.

To prepare a quote, the client may be asked to provide:

• project nature;
• source and target languages;
• approximate volume;
• preferred deadline;
• file format;
• level of specialisation;
• specific guidelines;
• a representative excerpt of the project.

The quote sets out, depending on the project:

• service nature;
• price;
• estimated deadline;
• delivery terms;
• any specific conditions.

Work only begins after the client accepts the quote in writing.

Rates

Rates listed on the site are indicative and given "from".

They can vary depending on language, volume, deadline, file format, level of specialisation, complexity, rework needed, quality of the source document, technical or editorial constraints and specific client requests.

Discounts may apply for large volumes or recurring clients.

Prices are quoted without VAT. VAT not applicable, French General Tax Code, article 293 B.

Payment

Payment terms are set in the quote.

Depending on the project, Aarnae Studio may request a deposit before work starts.

Unless stated otherwise in the quote, the balance is due upon delivery or upon receipt of the invoice.

Late payment may lead to suspension of ongoing or upcoming work. Late penalties may apply in accordance with applicable law.

Deadlines

Delivery deadlines are set in the quote based on volume, complexity and availability at the time of the order.

The deadline starts running after:

• written acceptance of the quote;
• receipt of all the elements needed for the service;
• payment of the deposit, if one is required.

Any delay in sending files, guidelines or information may push the delivery deadline back.

Delivery

Services are delivered electronically unless agreed otherwise.

Delivery can be via email, download link, shared document or any other means agreed with the client.

Revisions and feedback

After delivery, the client can share comments or required corrections within a reasonable timeframe.

Corrections linked to objective errors in the delivered work are included.

Requests that change the initial brief, add new guidelines, change the expected tone or require significant rework may be invoiced as additional work.

Cancellation

Any cancellation must be sent in writing.

If work has already started, the work carried out remains payable.

In the event of a cancellation by the client after the quote has been accepted, Aarnae Studio reserves the right to invoice the work already done and any costs incurred.

Right of withdrawal for consumer clients

Where a consumer client orders a service remotely, they may benefit from a 14-day withdrawal right under applicable French consumer law.

If the client wants the service to start before the end of the withdrawal period, they must request it expressly.

If the service is fully performed before the end of the withdrawal period with the prior agreement of the client, they acknowledge that they may lose their withdrawal right.

Confidentiality

Aarnae Studio handles documents, information, files, guidelines and content provided by the client confidentially.

Documents provided by the client are not used for any purpose other than analysing the project, preparing the quote or performing the service.

A specific NDA can be signed on request when the nature of the project requires it.

Artificial intelligence and machine translation

Services offered by Aarnae Studio rely on human work.

For AI post-editing or services involving automatically generated text, the client acknowledges that the quality of the source can affect the time needed.

AI post-editing is offered only when the provided source is workable. If the text needs a full rewrite or in-depth meaning verification, the project may be reclassified as translation, bilingual revision or adaptation.

Confidential files shared by the client are never knowingly used to train an AI tool.

Liability

Aarnae Studio performs its services with care, attention and professionalism.

Liability cannot be engaged in case of:

• errors in the source document;
• ambiguity in the guidelines that was not flagged;
• edits made to the text by a third party after delivery;
• use of the delivered text in a context different from the one stated at order;
• the client's non-compliance with legal, regulatory or editorial obligations linked to their own project.

The client remains responsible for the final use of delivered texts.

Intellectual property

The client warrants that they own the rights needed on the documents shared with Aarnae Studio.

Unless agreed otherwise, usage rights on the delivered work are transferred to the client once the corresponding invoice has been paid in full.

Aarnae Studio keeps the right to mention the type of service performed in its portfolio or references, in an anonymised form and without sharing confidential content, unless the client requests otherwise.

Force majeure

Aarnae Studio cannot be held liable for any external, unforeseeable and irresistible event that prevents normal performance of the service.

Complaints

Any complaint must be sent in writing to aarnae.rey@gmail.com.

The client is invited to clearly state the subject of the complaint and provide any relevant element.

Applicable law

These terms of service are governed by French law.

In case of dispute, the parties will try to find an amicable solution before any legal action.
